The type of personal information we collect

We currently collect and process the following information:

  • Name
  • Email Address
  • DOB
  • Telephone Number
  • Medical Information necessary to provide out services

How we get the personal information and why we have it

All of the personal information we process is provided to us directly by you for one of the following reasons:

  • To contact you to inform you about our services and deliver them to you.

We use the information that you have given us in order to:

  • To contact you to provide our services
  • To send information to you that we deem relevant and useful
  • To send you a card on your birthday
  • To make sure that the services we provide are appropriate for your medical condition
  • To send you marketing information

We do not share this information with any other organisation or individual.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us at holdmyhandcoaching@gmail.com
(b) We have a contractual obligation.
(c) We have a legitimate interest.

How we store your personal information

Your information is securely stored on:

  • Acuity Scheduling – when you book an appointment/service, Acuity Scheduling will ask you for your name and email address so we can confirm you have booked the service, send you a receipt and appointment reminders.
  • Zoom – Group coaching calls are recorded on Zoom. Your video will not be recorded, just your voice. The recording will not be shared with anyone outside of the group that you are part of.
  • JotForm – we ask you basic information via JotForm and we may ask you for feedback regarding our service via JotForm.
  • ActiveCampaign – your name and email address is kept on ActiveCampaign so we can email you with relevant information and marketing material.
  • Stripe – Payments for our services are taken through Stripe. We are not exposed to nor do we store any of your financial information.
  • Leadpages – Leadpages may ask for your name and email address so we can send you relevant marketing material.
  • Google Drive – Some of your information is securely stored in Google Drive with the extra layer of protection of Two-Factor Authentication
  • AWS Management Console – Our Group Call are held and recorded via Zoom. Once recorded, the calls are deleted from Zoom and transferred to AWS Management Console for storage.
  • Our mobile device – we store your phone number on our mobile device so we can text and WhatsApp you to remind you of our services and to check-in with how you are from time to time.
  • Notes may be taken during your sessions on a Word Documents. Your personal information is encrypted.

We suggest that you make sure you are happy with the Privacy Policies of Acuity Scheduling, Zoom, JotForm, ActiveCampaign, Stripe, Leadpages, Google Drive, and AWS Management Console. We do not assume responsibility for the manner of use or misuse of information made available by you on these other websites. We advise you do not provide personal information without assuring yourself of their Privacy Policy Statements.

We keep your personal information for 7 years after you have finished using our services. We will then dispose of your information by deleting it from all of the above systems that we have it stored.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
